Automating Excel: from data entry to a finished report

If you copy information from emails, invoices or other spreadsheets every day, much of that work can be automated while leaving the final review in your hands.

The short version. An automated workflow can collect data, standardise its format, perform calculations, flag missing values and prepare the final spreadsheet for review.

Excel tasks that are well suited to automation

What a reliable workflow looks like

First, define where the data comes from and which columns are required. The workflow then standardises formats, performs the calculations and shows errors or uncertain records on a separate sheet. The source files remain unchanged, making the result easy to compare and verify.

AI and precise rules work together

Formulas and explicit rules are best for calculations and clear conditions. AI is useful when the workflow needs to understand text: recognising a company name in an email, sorting notes into categories or producing a short summary. The important part is choosing the right method for each step.

What should remain with a person

Automation should not make silent decisions where accounting, payments or legal responsibility are involved. In those cases it prepares the result and highlights exceptions; the responsible person reviews and approves them.
